The following documentation is only accessible to logged in users. It is meant as a general overview of how the Osprey Community Foundation theme works. 

Your theme is built in WordPress. Most of its functionality is shared by other WordPress themes and the quickest way to find answers about how to use the site is to use Google or look directly in the WordPress documentation. 

The following documentation is intended to supplement the WordPress documentation, and explains the functionality and configuration of custom theme features that are unique to the Osprey theme. Detailed prompts are to be found on the page edit screen for any complex tasks.

Navigating the admin panel

The Administrative Dashboard

The dashboard is the first place you will arrive after logging in. It should look something like this:

Using the admin bar

Once you are logged-in to the website, a black bar will appear at the top of the screen, in the dashboard and on the front end of the site. This is the simplest way to make edits to content on a webpage. On the front end of the website, navigate to the page or post you want to edit, then click ‘Edit Page’ or ‘Edit News’ etc. in the black admin bar (see below).

General information about pages and posts

Editing page content

Upon navigating to the correct page edit screen you will see the page title, and the main content area.

You can edit content intuitively, using the text editor as with most computer applications. Text is typed into blocks which can be moved around and used for various functions such as inserting a form or heading. For further information about using WordPress blocks, see the WordPress documentation.

Many pages in the Osprey Community Foundation website include further custom functionality below the main content area. Some pages do not use the main content area at all, and only use custom content fields (see below).

The custom content sections are in green. You can open them by clicking on them:

Sections are labelled, and ordered similarly to the actual front end page content. You can find and edit content as required. Fields using complex functionality will have accompanying assistive prompts.

How to add a green callout box

It’s possible to add a green background around a page section (like this one) in order to highlight special content.

  1. Click the option named ‘Callout’ in the editor.

 

2. Replace the text in the box that pops up, then click ‘ok’:

Special post types and their functionality

Your theme uses various post types as a means to organize and display content in different ways throughout the site. All of these post types are edited in much the same way. There are minor differences in functionality which are described below. You can find these posts listed in the left sidebar of the wordpress dashboard:

Funds

What are funds?

Funds are specific Osprey Foundation Funds, such as the Osprey Community Fund. A list of Funds is shown in grid form on the Search Funds page. Site visitors can filter funds by category by clicking the category buttons at the top of the page. They can also search for funds using the search input provided. Funds appearing in any of these grid listings can be clicked to access a single fund page containing more detail about the fund.

How are funds ordered in the grid?

In the grid which appears pre-search and pre-filtering, a list of featured funds is shown in the order in which they have been featured (see below), followed by any other published posts that exist (in a random order).


The grid can be filtered by category by clicking the category buttons. The filtered grids are ordered like the main grid with any featured posts appearing first and in the order in which they have been featured, followed by any other posts in the filtered category, randomly ordered. See below for how to feature specific categories.

How can I feature funds?

Funds are now featured by adding a number to a single fund post. The lower the number the earlier it will show in the grid.  The Filter Order field is found in the Fund Options area on single funds.

Adding funds in other places

The funds grid has now been completely rebuilt and is more flexible. You can now put a funds grid anywhere on the site, with a) all the posts showing/ buttons and search option; b) just funds from a specific category; c) a few specific posts; or d) one specific post.

To add a grid, click the ‘+ Grid’ button in the toolbar, top right:

this will bring up a dialogue box which will write your shortcode and insert it in the page.

You insert as is and it will show all funds with a search box and buttons like it currently does on the search funds page. You can choose to show only one category by inserting the category slug in the box (if you’re unsure on the precise slug/ url go to Funds > Categories in the sidebar and find the slug in the list). You can select individual posts using the post id for the post you want to show. Arrays are separated by commas. (to find a Fund id go to Funds in the sidebar. From the list of funds hover over the one you want to show and the id will appear in the link).
You can also uncheck search or buttons as required and insert your shortcode. Save the page or post and you will see your grid on the front end of the site.

Send people to a preset filter

You can also append the category slug to the url so visitors using the link land on a prefiltered version of the search funds page, just like we use on the donate field of interest button /search-funds/?fund_cat=field-interest-funds

Just replace with your desired category slug.

This could be handy for marketing email and such.

How do I change information on the single fund page?

Single funds are much like pages and other posts. You can change and add the title or content in the main content editor. You can add or change a category by selecting ‘fund’ in the right sidebar of the edit fund screen. You can add or change a fund image in the same sidebar, by clicking ‘featured image’:

How do I change information on the grid entry?

Information on the grid entry is changed on the specific fund edit screen. (see the previous note). The grid uses the information from the post to formulate the grid entry. WordPress automatically takes the first few lines of your fund text to create the paragraph included in the grid. If you want to override this text with something more enticing, you can create a manual excerpt. Just go to the Funds sidebar in the same right hand area of the edit screen, scroll to the bottom to where it says “write an excerpt’ and add your text there.

How do I add funds?

As with all posts and pages, just go to the dashboard, find the post type in the left sidebar, in this case ‘Funds’. Below you will see an option to add a fund.

  1. Click add a fund
  2. Give your fund a title
  3. Add information about your fund in the main content area
  4. Add a manual excerpt (if left empty, WordPress will automatically take an excerpt from the first few lines of the post)
  5. Put your fund in the correct category – this allows visitors to filter funds, and will assign your fund a recognizable colour in the funds grid.

Donation Forms

By default, funds include a form for gathering information prior to payment (Form ID #10, called ‘Donation Form Part One’) . The form is hidden on the single fund page and revealed by clicking the ‘Donate Online Now’ button. Upon successful form submission, the visitor is sent to a second form to make payment (Form ID #11, called ‘Donation Form Part Two’).

It’s best not to edit the second form. The second form can be edited, but be aware that you are changing the form that shows for all funds, not just a specific fund. To edit the form, go to ‘Forms’ (top left in the dashboard sidebar) and select ‘Donation Form Part One’ (Form ID #10). Complete instructions for editing the forms are found here.

If you need a one-off custom form for your fund, you can easily add a different form by choosing from the dropdown marked ‘Replacement Form’ in the Fund Options section at the bottom of the edit page:

Before you do that, you will need to create a form by going to ‘Forms’ in the left sidebar of the dashboard. It’s best to duplicate Donation Form Part 1 so that all the settings are preserved (in particular those that forward you to the payment page). Then you can add and delete fields to your liking. Once you have edited and saved your form, return to the single fund page and refresh it. You will now see your form in the Replacement Form dropdown. Select it and save the fund and you will see your new custom form on the front end of the site.

Using the old hosted button method

If you need to use the old hosted paypal button set up, or any other external payment url, you can switch this functionality on in the Fund Options section at the bottom of the page:

When you check the box marked ‘Revert to old formless setup with hosted button?’ a new box will appear. Paste your hosted button or other external payment link here and the ‘pay online now’ button on the fund will go to your link instead. There is no form available with the old hosted button setup.

Grants

What are grants?

Grants are specific Osprey Foundation Grants, such as the ??? Grant. A list of Grants is shown in grid form on the Grants page.

How can i add a grant?

As with all posts and pages, just go to the dashboard, find the post type in the left sidebar, in this case ‘Grants’. Below you will see an option to add a fund.

  1. Click ‘add a Grant’
  2. Give your grant a title
  3. Add information about your grant in the main content area
  4. Add a manual excerpt (if left empty, WordPress will automatically take an excerpt from the first few lines of the post)
  5. Put your grant in the correct category – the grant category is shown in the grid and elsewhere to assist visitors in identifying grant types.

How are grants ordered in the grid?

Grants are ordered according to a specified opening and closing date. This is specified in the Edit grant screen, in the custom content field labelled ‘Grant options’:

When the current date is equal to or larger than the opening date AND equal to or smaller than the closing date, the grant will be open. Open grants are green in colour and rise to the top of the Grants listing. They are ordered by opening date, with the earliest showing top left of the grid. Closed grants remain in the second half and are coloured grey. They are ordered randomly.

It is possible to specify when the granting period will reopen once the closing date has passed. When the grant is not open, this text will replace the opening and closing dates, when specifying a date, please use the format ‘Month dd’ without stating the year (eg April 21). If this field is left empty, no date will show when the grant is not current.

Adding a grant application button

You have the option to show a button beneath the main grant content in order to link to the grant application form.

To add or modify this URL, go to the custom content section ‘Grant options’ at the bottom of the grant edit screen, and add the URL. If no URL is specified, the button will not show.

The Manual Grant Application section

There is a ‘Manual application’ information section which appears automatically at the bottom of every grant application section. This text can be changed in the sitewide default section. See below for more information on sitewide defaults.

Tributes

What are tributes?

Tributes are special posts to honour and commemorate community members, giving the option to link through to a fund payment gateway without using the search funds grid to do so. Tributes are shown in grid form on the Tributes page. Tributes appearing in the grid listing can be clicked to access a single tribute page containing more detail about the tribute. Tributes in the grid are ordered in chronological order with the most recent at the top.

How do I change information on the single tribute page?

Single tributes are much like pages and other posts. You can change and add the title or content in the main content editor. You can add or change a tribute image in the same sidebar, by clicking ‘featured image’.

How do i add tributes

As with all posts and pages, just go to the dashboard, find the post type in the left sidebar, in this case ‘Tributes’. Below you will see an option to add a tribute.

  • Click add a tribute
  • Give your tribute a title
  • Add information about your tribute in the main content area
  • Add a featured image which will show in the single page and on the listings grid
  • Add a donate button link – either to your payment gateway OR another fund

Adding a donate button

You have the option to show a button beneath the main tributed content in order to link to a specific donation page. Simply add a URL in the green custom content section entitled ‘Tribute options’.

News and impact posts

About news posts

News posts are dated Osprey posts which appear on the News page, and on the home page in the highlights section. Posts in these grids consist of an image, title, a post excerpt, and a ‘read more’ link which clicks through to the full post.

How do I change information on the grid entry?

How do I change the post image?

The post image is the same as the featured image. Just go to the right hand side of the News edit screen and click ‘(add or) replace image’.

Posts in the News sidebar

Each full News post includes a sidebar displaying two random News posts. You can override which posts appear here by specifying your own. Just scroll to the bottom of the News edit screen and click the custom content field marked ‘News selector’.

Click ‘add row’ and choose a post from the list. If you wish to add multiple posts, add further rows. You can order your posts by dragging and dropping the order number. You can delete posts by hovering over the right side.

Impact stories

Impact stories are community impact stories that appear on the Impact page in a grid, and also in the sidebar of other pages throughout the site. The sidebar section has more information on configuring how the impact stories appear in sidebars. Impact stories are almost identical to News posts in their functionality, except that they automatically show an impact icon when they appear around the site, and they do not show a post date. Read the News post section for details of how to add and edit posts.

Much like News posts, Impact posts display 2 random impact posts at the top of the right sidebar by default, and this can be overridden by selecting impact posts in the selector at the bottom of the page in the ‘Sidebar’ section:

Show a different image in the highlights section

You can override your News post featured image to show a different image or different version image in the highlights box on the home page. To do this, just scroll down to the bottom of the edit screen on a News post. Upload a different image in the ‘Highlights’ section.

How to change the sidebar content

About sidebars

There are three main sidebar configurations which appear in different areas of the site.

News sidebar

The news sidebar only appears on single News posts. By default, the News sidebar contains two randomly selected news posts followed by the Stay Connected section. The random selection can be overridden by selecting posts at the bottom of the News post edit screen.

Grants sidebar

The Grants sidebar only appears on single Grant posts. By default it contains an image at the top (which is changed or added using the Featured Image function in the right side of the Grant edit screen), an image caption and a quote with attribution (all of which can be modified in the ‘Grant options’ custom content section at the bottom of the Grant edit screen).

Donate sidebar

The donate sidebar only appears on the donate page. You can modify the content in the ‘Donate’ custom content section at the bottom of the donate page edit screen. The ‘impact of endowment section’ which appears in the sidebar has its own section further down the page.

Impact sidebar

The Impact sidebar appears …

The Impact sidebar is identical to the default sidebar, except that 2 impact posts will appear automatically at the top of the sidebar if none are selected in the selector located in the sidebar custom content section at the bottom of the edit screen.

The default sidebar

The default sidebar appears on pages using the default template, for example the privacy policy. The sidebar is configured at the bottom of the page or post in the green custom content section, under ‘Sidebar’. The sidebar can be switched on or off as needed. When switched off the page content fills the gap and the page is a full-width page.

You can choose to show Impact stories in the sidebar by adding a row and selecting a story.

You can choose to add a content section below the posts by checking the box ‘Would you like to include a textbox in the sidebar?’

You can add a widget section by checking the box:

Remember that widgets are viewed on multiple pages. They are populated and managed under appearance > widgets in the dashboard sidebar. WordPress.org has more information about how to use widgets.

Miscellaneous

Quote section

There is a large quote at the bottom of every page, above the footer. This section shows a default quote and attribution which can be modified in the Sitewide defaults section (see below). You can override the quote and attribution on specific pages by navigating to the green custom field section entitled ‘Quote override’.

Sitewide default fields

Sitewide default fields are used for content which appears on multiple pages. Rather than edit each individual page when changes are made, it’s simpler to change one field which is then shown on multiple pages.

Sitewide defaults are used for the default quote displayed at the bottom of every page. This content can be overridden on individual pages in the ‘Quote override’ section.

Sitewide defaults are also used for the ‘Manual application’ information displayed under the content on each Grant post.

To modify content displayed in these areas, go to the admin dashboard sidebar > settings > Sitewide Default Fields:

Choose the section you would like to edit:

Next, edit the content and click the blue ‘update’ button.

Your changes will be reflected on the front end of the site UNLESS they are overridden on the individual page edit screen.

Menus

You can change the menus by going to the dashboard > appearance > menus.

Be sure to select the menu you wish to change and click the select button!

Contact forms

You can access and edit components of the contact forms under dashboard > Contact.

Here you will find a list of the different contact forms on the site. Click on the form you wish to modify. To modify emails sent by the form, click the mail tab. There are two emails  – one sent to the form administrator the other sent as a response to the site visitor. You can use your common sense to change email content and the admin recipient email. For all other tasks, refer to the Contact form 7 documentation.

Contact form submissions

Whenever a form is submitted, the message is sent to an admin (see previous note). It is also saved in the system. If you need to find an old entry you can access under ‘Contact Forms’ at the bottom of the admin sidebar.

Banners

It’s possible to have a banner on any page, but not on News posts, Impact posts, Grants, or Funds, where the featured image is formatted to show in a different position. To add a banner, first add a featured image (preferably a landscape image 1800 wide X 810 tall). You can do this in the page edit screen in the right sidebar with ‘page’ selected:

To add text content to the banner, scroll to the bottom of the edit page and choose the green custom content section entitled ‘banner text’:

Here you can change the main heading, add a small introductory paragraph below, and add a button. Note that it is possible to highlight part of the main heading in white by adding a span element.

Past grants

The ‘Past Grants’ page includes a list of years with tables of past grant awards. The most recent year is always open when the page loads.

It’s easy to add new years and populate the tables. Just go to the edit screen for the Past grants page, then scroll to the bottom where you will find the green custom content section entitled ‘Past Grants’.

You will see a list of rows containing all the past years. Inside each year are several more rows which display on the page as table rows.

To add a new year, click the outer ‘add row’ button at the very bottom:

Type in the year, eg ‘2023’. You can now add rows within that year as required. Use the previous years as a guide. Rows consist of a description and an amount. You can check a box to make your row a heading. Headings are slightly darker. Headings can still contain an amount if required. Once you have added content to the table for your new year, you need to click on the outer number for the year’s row and drag the year into position. In the example below, just click number 2, and drag the row into the desired position:

Note that you can also insert a row into the correct position in the list by using the plus sign which displays when hovering over the right hand side of the rows:

You can also remove rows in the same manner:

When your new rows are complete, update your page and your new accordion section will show on the front of the site.

Banner links

When entering the button URL in the banner area, you have the option of flying down gracefully to a content section or sending visitors to another page.

To fly down to a section, you need to check the option for ‘Fly Down’ found under the banner URL field, and link to the section id in the page. Insert the id as your URL, for example: ‘#my-section’. You can find the section id by looking in the inspector.

To go direct to a URL (an Osprey page or an external page) just paste the full URL eg https://ospreycommunityfoundation.ca/fun-page.

Yoast SEO

Your site comes equipped with Yoast SEO, and application to better understand and change how your web pages appear in search engines. There is a box at the bottom of each page entitled ‘Yoast SEO’ which allows you to rate and optimize your content for search.
